WHITE RABBIT ARTS: CALL FOR COORDINATORS - 2019

We are putting together a team to help plan and facilitate this year’s White Rabbit Arts Residency and Festival. These paid positions include:

  • Residency Coordinator
  • Festival Coordinator
  • Technical Coordinator
  • Festival Volunteer Coordinator

RESIDENCY COORDINATOR - White Rabbit Residency 

Deadline: April 23, 2019 

Hours: 

Offsite/Before Residency: May 1-Aug 6 Casual (Approx. 5 hours/week) 

Onsite/During Residency: August 6-20th Full time (80 hours) 

Honorarium: 1500$ 

Perks include: room & board, access to solar shower, sauna, a multitude of ponds and orchards, forest paths and lovely beaches to roam 

Responsibilities: 

The Residency Coordinator position is responsible for coordinating and facilitating the White Rabbit Residency from Aug 9th-16th 2019. They will be supported by The White Rabbit Programming Committee, other staff, and a series of on-site volunteers. 

In the months prior to the residency, The Residency Coordinator will help select the artists based on their applications with the selection committee. Once the artists have been chosen they will continue to communicate with them until and during the residency to answer questions, organize accommodation, transit, access needs, etc.   

In addition to facilitating the programming, the coordinator is responsible for collaborating with the volunteers and staff to make sure everything runs smoothly and that everyone feels supported. It is the coordinator’s job to address conflict when it arises and make sure each person involved is considered. The Residency Coordinator ensures that all groups throughout the site are communicating efficiently and working towards a common goal together. 

Tasks: 

Before Residency 

  • Sit on selection committee to select Rabbits (Residency Artists) 
  • Collaborate with Site Coordinator to facilitate on site prep (arrive a few days prior to residency) 
  • Coordinate with Rabbits prior to residency (organize transit, collect info for social media, organize accommodation, health/dietary and access needs) 
  • Receive and manage residency payments 
  • Create a residency schedule 
  • Communicate with mentor artist(s) who will lead the Rabbits through workshops, artist talks, artistic guidance and support 

During Residency 

  • Facilitate schedule including land tour, mentor workshops, Rabbit artist talks 
  • Organize and maintain functional studio space 
  • Facilitate clear communication and conflict resolution between residency volunteers, staff and artists 
  • Facilitate fire circles (daily check ins and peer support session) 
  • Make sure artists have platform and space to talk about their work 
  • Prepping artists for festival emotionally and mentally 
  • Communicating with festival coordinator and site team before the festival 
  • Maintain communication with artists throughout the festival

FESTIVAL COORDINATOR - White Rabbit Festival 

Deadline: April 23, 2019

Hours: 

Offsite/Before Residency: June 1-Aug 12 Casual (Approx. 3 hours/week) 

Onsite/During Residency and Festival: August 12-19th Full time (40 Hours) 

Honorarium: $800 

Perks include: room & board, access to solar shower, sauna, a multitude of ponds and orchards, forest paths and lovely beaches to roam 

Responsibilities: 

The Festival Coordinator’s job is to ensure the festival runs smoothly for everyone involved. The Festival Coordinator will work with the Programming Committee, Residency Coordinator, Volunteer Coordinator and Site Team prior to and during the festival. They will be supported by the Programming Committee, board members, and a fleet of on-site volunteers in ensuring all tasks are taken care of. 

Tasks: 

Before Festival: 

  • Create a schedule for the Festival day. Work with Programming Committee to confirm music and performance acts. 
  • Collect a cash float from a designated board member for ticket booth, merchandise table, and dinner station. 
  • Coordinate signage for site : First aid, water, info, merchandise, wayfinding, outhouse instructions, entry 
  • Communicate festival plan and form promotion plan with Communications Committee 
  • Work with Residency Coordinator to determine programming needs of artists 
  • Work with Site Team to ensure construction, weather-proofing and tech set-up of stage(s) 
  • Communicate with Volunteer Coordinator to create site prep and management plan 
  • Ensure that security/consent teams are visible and obvious to the public 

During Festival: 

  • Give opening remarks to festival-goers, including land acknowledgement, safety and consent policies, intros to artists, overview of schedule 
  • Responsible for periodically running the cash flow to a designated board member 
  • Ensure the day’s schedule is clearly posted 
  • Be available and visible to answer questions from festival-goers 
  • Check in with the Volunteer Coordinator regularly; respond accordingly to updates/concerns/questions 
  • Give announcements to indicate artists talks/site tours

TECHNICAL COORDINATOR - White Rabbit Residency and Festival 

Deadline: April 23, 2019 

Hours: 

Offsite/Before Residency: July 1 -Aug 7 Casual (Approx. 10 hours) 

Onsite/During Residency and Festival: August 7-19th Full time (60 Hours) 

Honorarium: $700 

Perks include: room & board, access to solar shower, sauna, a multitude of ponds and orchards, forest paths and lovely beaches to roam 

Responsibilities: 

The Technical Coordinator’s job is to source, install, and monitor technical and AV equipment for artists and performers at the White Rabbit Residency and Festival. The Technical Coordinator will work with the Residency Coordinator, Festival Coordinator and directly with residency artists prior to and during the residency and festival. They will be supported by the board members and on-site volunteers to ensure all tasks are completed. 

Tasks: 

Before Festival: 

  • Work with Residency Coordinator to determine technical needs and expectations of residency artists work. 
  • Work with Festival Coordinator on a schedule for the festival. Confirm equipment and supplies for music and performance acts. 
  • Source, schedule, and collect rental equipment and potential in-kind donations for residency installations and festival performances. 
  • Work with Site Team to plan construction, power, and weather-proofing of festival stage(s) 

During Residency & Festival: 

  • Work directly with artists and Residency Coordinator to develop overview and schedule for artists work and installations. 
  • Work with Site Team on stage(s) construction and weather-proofing for technical equipment. 
  • Install work with artists and Site Crew 
  • Safely and securely run power connections to required site(s) 
  • Work with Festival Coordinator and Volunteer Coordinator to ensure all technical equipment is safely installed, monitored, and functional during Festival. 
  • Work with artists and volunteers to safely remove all installations and equipment 
  • Clean, pack, and return rental equipment 

Skills: 

  • Knowledge of standard practices, methods, tools, and technologies used in exhibition development and installation, particularly related to new media and digital art. 
  • Experience working with audio/visual systems and equipment/technologies.

FESTIVAL VOLUNTEER COORDINATOR- White Rabbit Festival 

Deadline: April 23, 2019 

Hours: 

Offsite/Before Residency: June 1-Aug 15 Casual (Approx 2 hours/week) 

Onsite/During Residency and Festival: August 15-19th Full time (30 Hours) 

Honorarium: $500 

Perks include: room & board, access to solar shower, sauna, a multitude of ponds and orchards, forest paths and lovely beaches to roam 

Responsibilities: 

The role of the Volunteer Coordinator is to recruit and manage volunteers for the White Rabbit Festival. This involves working closely with the Festival Coordinator to determine the necessary volunteer teams and the number of people needed. They must put together and distribute via Communications Committee a call for volunteers 2 months in advance of the Festival. 

Tasks: 

  • Promote call for volunteers and help in recruiting new volunteers 
  • Create volunteer schedule 
  • Become familiar with the roles of each volunteer team and manage the Volunteer Captains 
  • Compile Volunteer Captain binders including: tasks, schedule, contact list, Safer Spaces mandate/protocol, emergency info 
  • Coordinate and book Safer Spaces training for volunteers 
  • Facilitate group orientation with all the volunteers and captains 
  • Check in with Volunteer Captains through walkie talkies and in person throughout the festival 
  • Send evaluation forms to volunteers after the festival and relay feedback to the board
